Open Communities gives your committee a shared place for member details, groups and admin access. People with the right access can find member details and manage group assignments. Keep this information in your own community area, rather than in separate committee copies.
With the right permissions, your admins can search the member list and view member records. They can check a person’s name, contact details, account status and assigned groups.
Your committee has a shared place to look when it needs those details. There is less need to search through inboxes, spreadsheets or a volunteer’s files.
Create and maintain groups for your committees and activities. Check who belongs to each group. Update their group assignments when people take on new tasks.
For example, a group can bring together the people who help run an activity. Which group they belong to and which admin tasks they can use are separate choices.
Roles and permissions set who can view or manage information in your community area. Start with what each person needs to do.
One person may run events, while others publish content, review payments or scan QR tickets at check-in. These are examples of duties, not preset roles. Review the access each person needs for their tasks.
| Part | What it means |
|---|---|
| Member record | Holds details about a member of your organisation. Being a member does not, on its own, give someone admin access. |
| Event registration | Records someone signing up for an event. This is not the same as joining your organisation as a member. |
| Group | Brings people together for committees or activities. Group assignments are separate from admin access. |
| Roles and permissions | Set who can view or manage information in your community area. |
| Sign-in | Identifies the account holder. Signing in does not give someone full control of your admin area. |
For example, someone may stop running events but stay a member. An admin with the right access can check their member details and group assignments. They can then review that person’s admin access as a separate step.
Make these checks part of your committee handover. Your organisation’s information stays together in its community area as you change who handles each task.
Members can update the profile details and contact consent choices available in their own account. Once signed in, they can also view their own event registrations and available ticket details.
