Manage sponsor arrangements
Keep sponsor details and packages together, prepare invoices and recognise sponsors on your public website. Explore sponsor support for the full process.
For Australian sports club committees
Keep your club’s member details, website, events and committee tasks together. Open Communities is an Australian software platform that links your public website with the tools your committee uses. Start with the off-field tasks your club needs to manage.
Visitors can learn about your club, browse events and sign up to attend. Behind the website, organisers with the right access manage those events in your club’s own area.
For each event, an organiser can review who has signed up and check their payment details. Those details stay in the club’s area, alongside its website content and member records.
Administrators with the right permissions can view member records and manage group assignments. Groups help you organise people. Permissions set who can manage each task. Being a member or signing in does not, by itself, grant committee access.
See Member records and permissions for more detail. When committee roles change, keep club records in your community area. Then review administrative access for people taking on or leaving tasks.
Signed-in members can view their own event registrations and available ticket details in the member portal. They can find their event details without needing access to committee tools.
Club life beyond competition
Your club could use these tools for a presentation evening. This example shows how an event on your website links to tasks for your organisers. Signing up for an event is separate from joining the club.
An organiser posts the evening’s details on the website. People can then find the event and sign up.
Organisers review attendee details and payment details where these apply. People who sign up receive confirmation and ticket details where applicable.
Event-day helpers with the right access scan QR tickets as people arrive. This records who attended the event.
Organisers can review who attended and the feedback people gave. These details provide context for follow-up.
See Events, registration and check-in for the full process. Explore Payments and expenses for online payments, bank or cash records, and receipt claims.
Publish club news, activities, photos and event sign-up links under your club’s name and brand. Your committee can keep this content up to date as club plans change.
Use an Open Communities subdomain or your own domain for your web address. See club websites and address choices to compare the options.
Use email and SMS tools to prepare an update about a club event, where configured. You can preview the message, review who will receive it and send it. Check both the message and the list of people before you send.
WhatsApp is for ticket-related tasks and chats with administrators, not mass messages to all members. See club communications for channel setup and scope.
Manage sponsor arrangements and funds for a club project as distinct types of support.
Keep sponsor details and packages together, prepare invoices and recognise sponsors on your public website. Explore sponsor support for the full process.
A project could explain plans for new club equipment and give people ways to contribute. Options include one-time support, recurring support where configured, and pay-later pledges. A pledge is a promise to pay, not money received.
See project funding for these choices and how to manage them.
Assess Open Communities for member records, committee access, your website, club events, messages and supporter tasks. This page covers off-field club tasks. It does not describe specialist sports tools for fixtures, draws, scoring, ladders, team selection, coaching or training.
Your club may keep a separate sports system for those tasks. Do not assume the two systems share data. If you need player sign-up through a governing body, membership dues or automatic renewals, ask a question about your requirements before choosing a setup.
Looking after a club that is not specifically sporting? See general club management software.
