Event management software
Manage events from registration to QR check-in
Publish community events, take bookings and keep track of what you need for the day. Open Communities links your public event pages with the tools your committee uses to manage each event.
Prepare your event and open registration
Set the event’s time, place and registration rules. Check your choices, then publish it on your community website for people to find. The rules you set control when people can book and how many can attend.
What people do when they register
Visitors fill in the booking details and say who plans to come. A registration records the booking; attendee details tell you who will attend. Booking an event is not the same as being a member of your organisation.
For a paid event, people use the payment choices set up for that event. Free events do not need this step. Booking status and your message setup determine which confirmations and tickets are available.
Signed-in members can view their own event bookings and available ticket details through the member portal.
See which bookings need attention
Before the day, organisers with access can review bookings, attendee details and payment status for the event. You can see who has booked and which bookings need a closer look. These details stay with the event your committee is planning.
A payment service handles online payments. Bank or cash payments are recorded or confirmed instead. Understand event payments, or see current plans and charges.
Scan QR tickets to record arrival
When an attendee arrives, they show their QR ticket. An organiser or volunteer with check-in access scans it to check them in. The attendance record stays linked to the event. You can then see who checked in, not just who booked.
Give people access to their event-day task
One committee member might review bookings before the event. Another volunteer might handle check-in at the door. Give each person access to the task they manage. See members and permissions for more about who can do what.
Manage changes and review the event
You can manage event changes and cancellations. Event messages can confirm bookings and tell people when plans change or an event is cancelled. Which messages are sent depends on your setup. Learn how to keep attendees informed.
Cancelling a booking does not, on its own, mean a refund is due or has been paid. See payment handling and refund considerations for more detail.
After the event, review attendance to see who checked in. Where feedback is set up, organisers can collect and review it too. This gives your committee a way to look back on the event.
