Automation and AI

Prepare community content and automate follow-up

Open Communities helps your committee draft a website, write messages and set up repeat tasks. Use AI to prepare drafts you can check, or set up a workflow to carry out planned steps.

Turn your words and images into a draft website

AI website creation starts with facts about your organisation and media you have permission to use. It helps turn those words and images into a draft site for your committee to review.

Check names and facts. Make sure the images suit your group and the links take people to the right activities. Creating a draft, checking it and publishing it are separate steps. A draft is not yet a published site.

Set up follow-up once, then check what runs

A workflow is a set of steps that runs a task. You can use ready-made flows or set up a flow for your group. Check its steps and message text before you enable it.

For example, a person signs up for an event and then receives a confirmation. Their registration starts the flow. The confirmation is the planned next step.

  1. 1

    Check and enable the flow

Check the confirmation message and the setup it needs. Then enable the flow so it can run.

  2. 2

    Follow up a registration

A person signs up for the event. The enabled flow runs the confirmation step as set up. You do not need to approve each run by hand.

  3. 3

    Check the activity records

Look at the flow’s activity records to see which steps ran.

What you can use depends on your permissions and your organisation’s setup. Message flows also need the right channel setup and the event or other records they use.

Start with a draft, then check the details

AI can help draft website copy, emails and brochures, or prepare receipt details. These give you a starting point for your next task.

Website copy and brochures

If you look after content, use draft text to describe your group or an event. Check the facts, tone and choice of images. Then decide what to publish on your site or use in a brochure.

Email drafts

As an organiser, you can draft an email and check its facts, wording and who it will reach. Do this before you send it. Writing a draft is not the same as enabling a confirmation flow. See how to prepare community messages.

Receipt details

AI can help prepare receipt details for a claim review. If you review the claim, check those details against the receipt. AI does not approve the claim or decide whether it should be paid back. See payments and expense administration for the wider process.

Choose the task you want help with

Start with what you want to draft or automate. Decide who will check the draft or flow. Check current AI and messaging service costs too. Access to a feature does not mean all use is included or that there are no usage limits.
